What to include in your first report

  • Vessel name and IMO number, where assigned.
  • Policy or certificate number.
  • Incident type, factual description, location, date and time in UTC.
  • Whether pollution or injury is involved, including when the position is unknown.
  • A reachable contact name, email and telephone number.
  • Available photographs, log extracts, survey reports and other supporting documents.

Send the known facts promptly; do not wait for a final loss estimate. Clearly identify information that remains unconfirmed. Avoid admitting liability or making commitments without appropriate advice.

What happens next

  1. Report recorded: the portal assigns a claim reference and acknowledges receipt.
  2. Evidence collected: upload documents securely and retain original records.
  3. Review and coordination: follow requests for information and insurer submission status.
  4. Updates: review your case status and secure messages in the client portal.

Photographs and sensitive information

Take photographs only where safe and permitted. Upload incident evidence through the portal. Keep personal or medical detail to what is necessary; initial injury reporting should describe involvement without unnecessary medical records.
