Privacy Policy
Understand what information we use, why we need it, how it is shared and how to exercise your privacy rights.
Who is responsible for your information
MarineEnergyCover is the digital platform operated by Sky Beyond Ltd, the operator identified in our Regulatory Information. This notice covers information collected through this website, enquiries, accounts, applications and support conversations. An insurer, intermediary or claims provider involved in a placement may also act as a separate data controller and provide its own privacy notice.
For privacy questions or a rights request, email info@marineenergycover.com with “Privacy request” in the subject, or use our contact form. Include your name, a reply address and the relevant reference; do not send your password or verification codes.
Information we collect
- Account and business contacts: name, work email, telephone, company, country and login details.
- Insurance enquiries: vessel and IMO details, ownership and management, cargo, routes, insured values, claims history and supporting documents.
- Service records: messages, uploaded files, application progress, payment references and any transfer evidence you submit.
- Website activity: IP address, session information, security events, cookie choices and language preference.
Information may come from you, an authorised colleague or representative, counterparties involved in your application and relevant verification sources. If you provide another person's information, ensure you are entitled to share it and direct them to this notice. Only submit personal information relevant to the enquiry. Injury or health information should be provided through the private claims process when requested, rather than public chat.
Why we use information
We use contact and application information to answer enquiries, take steps you request before a contract and administer services. Where you act for a company, our legitimate interests include handling its enquiry and maintaining a business relationship. Security, fraud prevention, service records and dispute handling also support legitimate interests, balanced against individuals' rights. Applicable legal duties may require compliance checks and record retention. Optional cookies and other consent-based processing rely on consent where required.
Sensitive information requires an additional legal condition where applicable; an ordinary enquiry is not blanket consent to use health or other sensitive data. If required information is missing, we may be unable to assess the risk, maintain an account or progress an application.
Who may receive information
Access is limited according to the purpose and the recipient's role. Relevant information may be shared with authorised staff, prospective insurers, underwriting and claims specialists, professional advisers, and providers supporting hosting, communications and secure storage. Disclosures to authorities depend on the applicable legal requirement. Request the privacy information for the named insurer or service provider involved in your case.
AI assistance and international processing
Website translations are AI-assisted. Live chat is provided by Smartsupp. Smartsupp processes the messages and technical visitor information needed to provide chat. We do not automatically send your account identity, application or documents to the chat service. Use the private client portal for confidential records. If AI assistance is used, its output is general guidance and does not decide insurance acceptance, claims or binding cover. Do not put passwords, payment credentials or medical information in chat.
International insurance and technology services may involve processing outside your country. Where UK data-transfer rules apply, a restricted transfer requires an applicable adequacy arrangement, appropriate safeguards or a lawful exception. Ask us for the recipient locations and transfer safeguards relevant to your enquiry; this notice does not imply that every recipient is in the UK.
Cookies and language preference
The session cookie supports sign-in and security. A first-party language cookie remembers your selection for up to one year. On an initial visit, a local IP-country database can suggest a language; the feature does not use precise device location. Browser language is the fallback. Your manual choice takes priority.
Cookie preferences are stored in your browser. Use Cookie Settings in the footer to review or withdraw optional consent. Clearing browser storage may remove saved preferences; blocking essential session cookies can prevent sign-in. Optional analytics or similar technologies require the consent applicable to them.
Retention and protection
How long records are needed depends on the enquiry or policy lifecycle, outstanding claims, complaints, legal limitation periods and applicable record-keeping duties. Closing an account does not automatically remove records that remain necessary for these purposes. Ask us which retention criteria apply to your information or request deletion, subject to lawful exceptions.
The platform uses HTTPS, access controls and private document storage. No online service can guarantee absolute security. Use the secure portal for supporting documents and follow the advice on our Security page.
Your choices and rights
Depending on the law and circumstances, you can request access, correction, deletion, restriction or portability of personal data. You can object to processing based on legitimate interests; you can object to direct marketing at any time. Where consent is the basis, you can withdraw it without affecting earlier lawful processing.
We may need proportionate identity checks before disclosing or changing information. Where UK rules apply, access requests normally require a response within one month, subject to the applicable rules on clarification and permitted extensions. We will explain any refusal or limitation and the relevant complaint route.
Raising a privacy concern
Contact us first if you would like us to investigate, but this does not prevent you from approaching the relevant data-protection authority. Where UK data-protection law applies, you can complain to the Information Commissioner's Office.
